Privacy Policy

1. Introduction

Online Accessibility Suite (“OAS,” “we,” “us,” “our”) is operated by Renaissance Intelligence LLC, a Michigan limited liability company. This Privacy Policy describes what information we collect when you use the document accessibility remediation service at onlineaccessibilitysuite.com (the “Service”), how we use and protect it, how long we keep it, and the choices you have. It applies together with our Terms of Use.

2. Information We Collect

  • Account information. When you sign in with Google or Microsoft we receive your name, email address and, where the provider supplies one, a profile picture, solely to create and authenticate your account.
  • Uploaded files. The PowerPoint presentations (.pptx) you upload for processing, the remediated output files we generate, and slide preview images derived from them.
  • Billing information. Your subscription plan, invoices and payment status. Payment card details are collected and stored by Stripe, never by us.
  • Usage and technical data. Request logs (timestamps, IP address, browser type, pages and API endpoints called, error codes), job history, and per-job AI usage counts (tokens and cost) used for reliability, security and billing. We do not use behavioural tracking or advertising analytics.
  • Support correspondence. Messages you send us at the address in Section 14.

3. How We Use Your Information

We use your information only to:

  • authenticate your account and maintain your session;
  • process your documents for accessibility remediation (structure, reading order, contrast, alt text generation);
  • manage your subscription, billing and usage limits;
  • keep the Service secure, prevent abuse, and diagnose problems;
  • send transactional messages (job completion, billing, security or policy notices) and answer support requests; and
  • comply with law.

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

4. Data Storage & Security

  • Files are stored on Amazon Web Services (AWS) S3 in the United States with server-side encryption at rest (AES-256).
  • All data in transit is encrypted with TLS/HTTPS.
  • Application secrets are held in AWS Secrets Manager; production access is limited to authorised personnel and is logged.
  • Uploads are inspected before processing and the application is protected by a web application firewall and rate limiting.

No method of transmission or storage is completely secure. We maintain reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the data, but we cannot guarantee absolute security.

5. Third-Party Services

We share data only with the service providers below, and only as needed to operate the Service:

  • Google and Microsoft (sign-in). Your sign-in request goes to the provider you choose; the provider does not receive your uploaded documents.
  • Stripe (billing). Handles all payment card data and subscription invoicing. We never store card numbers.
  • Anthropic (AI). Images, charts, formulas and nearby slide text are sent to Anthropic’s API to generate alt text and descriptions. Under Anthropic’s commercial terms this content is not used to train its models; Anthropic may retain API inputs for a limited period for abuse monitoring under its own privacy policy.
  • Amazon Web Services (hosting). File storage (S3), application hosting (ECS), database, email delivery and logs.
  • Fonts. The Service’s typefaces are served from our own servers; no font request is sent to Google or any other third party.
  • AI enhancement is on for every remediation. The document content described above is sent to Anthropic for that purpose whenever you remediate a file. Batch jobs may be submitted with AI enhancement disabled; for those, no document content is sent to Anthropic and all processing stays on our servers.
  • Google Drive and Dropbox (optional). Only if you connect them, to import or export your own files at your request. OAS uses Google’s non-sensitive drive.file permission: it can only access files you choose in the Google file picker or files that OAS itself created (for example, remediated decks it exported), and it cannot browse or read the rest of your Drive. We access those files only while you use the import or export features. OAS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We may also disclose information when required by law, subpoena or court order, or to protect the rights, property or safety of OAS, our users or others.

6. Data Retention

We keep information only as long as needed for the purposes above. Our retention periods are:

  • Uploaded source files: deleted automatically 30 days after upload.
  • Slide preview images: deleted automatically 7 days after they are generated.
  • Remediated output files: deleted automatically 90 days after they are generated, so you have time to download them.
  • Files you delete yourself: moved to your Trash, where you can restore them for 30 days; after 30 days they are permanently purged from storage.
  • Job records and AI usage counts: per-job AI usage records are deleted after 90 days, except rows attributed to a group or organisation plan, which are kept for that plan’s usage reports; the job list itself is kept while your account is active so you can see your history.
  • Server and access logs: 90 days.
  • Product analytics events and feedback you submit: kept while your account is active. IP addresses recorded with analytics events, and the browser details attached to feedback, are removed after 90 days — except the record of your acceptance of the Terms of Service, which we keep as evidence of the agreement for as long as your account exists.
  • Sessions: sign-in sessions expire after 24 hours of inactivity.
  • Account and billing records: kept while your account is active and for as long as required for tax, accounting and dispute purposes (generally 7 years for invoices) after it is closed.

When you close your account we delete your files, job history, cloud-storage connections and profile immediately, except billing records we are required to keep (Stripe retains invoices as tax records) and copies in encrypted backups that expire on their normal schedule (7 days for the database, 7 days for previous versions of stored files).

7. Cookies

We use strictly necessary cookies only: an authentication cookie that keeps you signed in (it expires after 24 hours) and a small marker that tells the application you are signed in. Where the Google sign-in button is shown, Google’s sign-in library may set its own cookie (named g_state) to remember whether you dismissed its prompt; that cookie is governed by Google’s privacy policy. During Microsoft sign-in we also set a short-lived cookie named ms_oauth_state (httpOnly, expires after 10 minutes) that protects the sign-in hand-off against forgery. We do not use tracking, analytics or advertising cookies, and we do not respond differently to browser “Do Not Track” signals because we do not track you across sites.

The application also keeps a few strictly necessary values in your browser’s local storage rather than in cookies: whether you collapsed the sidebar, your position in the remediation wizard for each job, a pending group invite code you followed before signing in, a one-time reload guard used after an update to the application, and whether you dismissed the slide-preview notice. None of these are sent to us or to third parties.

8. Your Rights and How to Exercise Them

Depending on where you live you may have the right to access, correct, export or delete your personal information, or to object to or restrict certain processing. OAS gives all users the ability to:

  • download your original and remediated files from your dashboard at any time;
  • delete individual files (Trash, then permanent purge after 30 days);
  • download a copy of everything we hold about you, and permanently delete your account and its data, yourself fromSettings → Account → Your Data; and
  • ask us to do either of those for you, or to correct your information.

How to make a request. Email support@renaissanceintelligence.ai from the email address on your OAS account. Verification: because every account is tied to a Google or Microsoft sign-in, we verify requests by confirming they come from that address (or by asking you to sign in). We do not require any other identification. Timing: we acknowledge requests within 10 business days and complete them within 30 days; if a request is complex we may take up to 45 additional days and will tell you why. We will not discriminate against you for exercising these rights.

9. Children

The Service is a business tool intended for adults. It is not directed at children, and you must be at least 18 years old to create an account; we ask you to confirm this when you first sign in. We do not knowingly collect personal information from anyone under 13 (or under the applicable age of consent where you live). If you believe a child has provided us information, contact us and we will delete it promptly.

9a. Education Records (FERPA)

OAS is designed for course materials such as lecture slides, syllabi and handouts. It is not designed to process student education records protected by FERPA. Do not upload documents containing student names, grades, student IDs or other personally identifiable information from education records; if a document inadvertently contains such data, delete it from your dashboard and it will be purged on the schedule in Section 6.

10. Security Incidents and Breach Notification

If we discover a security incident that has compromised your personal information, we will investigate, contain it, and notify you by email at your account address without unreasonable delay, and in any event within the time required by applicable law (including the Michigan Identity Theft Protection Act and other U.S. state breach notification statutes). The notice will describe what happened in general terms, what information was involved, what we have done about it, how to reach us with questions, and steps you can take, including a reminder to watch for fraud. Where the law requires it we will also notify consumer reporting agencies, regulators or law enforcement. To report a security concern, email security@renaissanceintelligence.ai.

11. International Users and Data Transfers

OAS is operated from the United States and our servers and service providers (AWS in Ohio, Anthropic, Stripe, Google and Microsoft) process data in the United States. If you use the Service from outside the United States, your information will be transferred to, stored and processed in the United States, where data protection laws may differ from those of your country. By using the Service you consent to that transfer. We do not currently offer regional hosting.

12. Changes to This Policy

We will update this policy from time to time. The only notice of a change will be the revised policy posted on this page, identifiable by its effective date at the top. Please check this page for updates on each visit. Where a change materially reduces your rights we will also ask you to re-accept it the next time you sign in. Your continued use of the Service after the effective date of a revised policy means you accept it.

13. Governing Law and Venue

You agree that the laws of the state of Michigan without regard to conflicts of laws provisions will govern this Agreement and any dispute that may arise between you and Renaissance Intelligence LLC or its affiliates. Venue shall exclusively be the state and federal courts located in Michigan, specifically, the County of Washtenaw and the Eastern District of Michigan.
